How to Handle Tenant Complaints in a PG Without Losing Your Mind

A leaking tap, a broken fan, a noisy neighbour — complaints never stop in a PG. Here is how to handle them without them running your day.

A leaking tap, a broken fan, a noise complaint about the next room — issues never really stop coming in a PG. The problem is rarely the complaints themselves; it is losing track of which ones are actually resolved.

Why complaints pile up in PGs

Complaints usually arrive over WhatsApp, in person, or by phone call — three different channels with nothing connecting them. Without a single place to log them, it is easy to forget a complaint entirely, or fix the same issue twice because nobody marked it as done.

Logging complaints instead of remembering them

The fix is simple in principle: every complaint gets logged the moment it is raised, regardless of which channel it came through. A PG management app gives every complaint a record — who raised it, what it is, and when — so nothing depends on your memory.

Setting priority and closing the loop

Not every complaint is equally urgent — a broken lock is not the same as a slow drain. Logging complaints with a priority helps you address the urgent ones first, and marking each as resolved (with a status trail) means you can prove, if a tenant asks, exactly when and how it was fixed.

Turning complaints into trust

Tenants do not expect a PG to be complaint-free — they expect complaints to be heard and resolved. A visible, tracked process for handling issues is often what turns a tenant into a long-term resident who renews without a second thought.
